Hi all, welcome to our final TDS reference group for 2020. Again, just to reiterate, this reference group, our webinar group, sorry, is focused on our web builds, our replacement, the eServices platform. Thanks for that. Thanks again for coming along today. We've enjoyed making you guys aware of our new features in the web space, and we'll take you through a bit more of that today. Again, I know this stuff is very repetitive, but just for some general housekeeping, we're using GoToWebinar for today's sessions as always. It's best to leave any questions you might have, during the presentation for the end, for the Q and A slides. Deanna is doing a bit of a demonstration for us today, around new design applications in the new web experience. If you have questions specifically about that demonstration, we'll park those until Deanna has finished that demonstration, but we can do, I guess two question answer sections. Let us know if you can't hear, or see the presentation today. Today's webinar as always is recorded, and we'll send around an email with the appropriate links onto our website to download, and to stream those recordings. And that'll happen probably in the next day or two.

All right. For today's agenda... Our last webinar was held in October. Again, I'll, I'll mention that if you missed last webinar, you can catch up our website, we'll share the appropriate link at the end of the presentation. You can download those, and review them as you please. Today's session, we're going to run through a general program update as always, we'll show you what we currently have in production, and what is due to be delivered over the next sort of three weeks, and going forward into January and February. We'll give you a quick demonstration of how to design your application flow, in your experience so that ease in production, as of... There was... Two sprints ago, I'm just trying to think of the date off the top of my head. And we delivered further functionality in our latest sprint, which was delivered on the 4th of December, which included the agent functionality, which is quite excited.

We'll show you a delivery roadmap. Again, what to expect before Christmas in terms of feature delivery, and what is on the cards for early in the new calendar year. Well, again, take you guys through our engagement poll, just to measure how we're going with our engagement, and how we can improve that time you guys going forward. We'll talk about what's next from a reference group perspective. Again, this is the final one of 2020, but we'll kick them off again early in the New Year. And then, like I said, we'll conclude the webinar by going through some general, Q and A that you guys might have.

Okay. But for a general program update, I've mentioned, we recently delivered our hands design your application flow into production. So that is there in production now, in the new portal, that includes single design applications, multiple design applications have more than one design application process, excluded further and common design applications. As I mentioned, our initial MVP delivery did not include agent functionality, which means you can now file on behalf of an applicant or owner as an agent. So that's been improved. We've also, and Deanna will show you guys this today through the demonstration, we've got an address book feature, which is quite new. This is basically a quick and easy way for customers to reuse previously entered customer detail information. So, that is a good experience and tested quite well with a customer design testing. Again, just to cover off what we do have in production in the portal, we've got all IP right renewals. You can register and create a new IP extra account by the new portal. And you can view all correspondence in the new platform, which is an improved correspondence facility. And you can do the copyrights that are linked to your current, IP extra accounts. You can view filing history, and generate filing receipts or transaction receipts. And we have some, I guess, a new piece of, we call it a stay informed section for all relevant IP news or outages going forward for our platforms.

So, I might hand over to Deanna now, and she can give us a bit of a demonstration of how design your application flow is in production in the portal. So, Deanna will share her screen, and we'll jump in. Again, if you have any questions, please leave them until the end, when Deanna is finished, we can unpack those then. Thanks, Deanna.

I jumped through a fairly quick demo of our new design application flow. So let me just share that screen. So for those of you that haven't seen, this is our, I guess our new dashboard venue, our annual experience. If you haven't seen it before, I do suggest that you go and have a look around. One thing I did want to point out today to you guys is that we have, I guess, a coming soon page, and it has kind more of a high level indication of what we've recently delivered about what to expect coming soon. So if you're wondering what will be coming within the next couple of sprints, you can select this coming soon page, and it can show you what we have recently delivered. Well, this is kind of everything we've delivered, and then things that we have coming soon. And then, yeah. So I'll get out of that one and we'll just jump straight into it.

So the banner at the top here, is a way you can find kind of all the requests that we have and all the sections that we have. So, I'll jump straight into apply for an Australian design. So we have some information, some contextual guidance here, some links to our corporate website with the relevant information that relates to the design application. We have some information about what you'll need. And then also, just like a bit of a warning about what you can't do, because we are, I guess, building this out slowly, and adding functionality over time.

Josh:

And that's a reminder goal I set. As we discussed before in recent webinars and some of our communications is that, we've got federated authentication across our new portal, as well as legacy eServices. So, if there isn't a transaction that you can do in the new portal, it's very easy to link straight back into eServices, for anything that you still need to do in that eServices platform.

Deanna:

So we tried to put a fair amount of, I guess buttons and links to eServices, so that if you ever get stuck, or find that functionality is not there, eServices is usually always available for customers to use. So, I was also going to show you, we have kind of a new draft functionality. When I go through this application, we'll save it as a draft, and I'll show you kind of the new way to do drafts. So, we'll just get started. So I'll go start new application. So, first step is the design category. So we have our four design categories. Today we're just going to do a new single design that relates to one or more products. So I'll just go next. So representations. This is kind of a new functionality that we are kind of flexing a little, as this is very important compared to what we have in eServices currently available. So you can't see what I'm dragging, but I'll show you. So I've just opened a folder, and basically grabbed three images that I can now drag and drop straight into that new experience. And then they, all three of those have uploaded. So we have two ways that you can order those, because as we know, the first image is our primary representation.

So we have two ways of doing that just to give customers a lot easier way to do this. So the first way you can either give the image a number. So if we wanted make this third one, our primary representation, we just give it a one, and it will move straight to the top, or we have a drag and drop functionality, so you can select it and then you can drag it to the top and that's now become our first. You can also preview these images, so you can make sure that they have uploaded the way that you wanted them uploaded.

Josh:

And that you've uploaded the right image.

Deanna:

Yeah, that's right. I’ve actually just hidden that one, so I need to move that back over

So yeah, you can check those. You can also view them in kind of a bigger format as well. Sorry, I'm just trying to move that back. So yeah, that is our new image uploading functionality. We also have, if you can say down the bottom here, the accepted file types and also the maximum file limit. You can upload, you can drag and drop up to, I think it's like a 130 images in one go.

Josh:

So this is particularly important for multi design applications. And we know from traditional feedback around eServices, this is a massive issue in terms of image handling. I'm sure some of you guys in the webinar right now have had issues filing for design, particularly multiple designs where new experience timeouts based on the image handling process of eServices. So this is a huge enhancement that really tested well with real customers during design first.

Deanna:

So I'll keep going. So I'm not, for the purpose of the demo, I'm not going to upload a 3D model, but it is fairly similar to the drag and drop where you just simply upload it, and that's fairly simple. So I'm going to next. One thing that customers may notice is that, as you start to fill out the application, this side of-

Josh:

Navigation bar.

Deanna:

... Navigation bar becomes clickable. So you can go back once you've completed a section. It is fairly simple, so we'll just keep running. So I've done a chair. So I'll give my product name a chair. So we have some contextual links here. So for our customers that don't know if they actually need a statement of newness, or distinctiveness, or what it's actually about, they can click on here. It takes them to that contextual guidance that they require. So I'm not actually going to fill this out.

I'll just put in some free text, and then go next. If you need a convention priority, you can click yes, and you're essentially told exactly how to do that. For this purpose we won't include one, and we'll just go next. So designer details, again, it's fairly simple. We can just add a name in. If we'd like to add another, we just jump in here. It's fairly quick and easy. I'll add me and Josh as designers for this case, and go next. And so now this is kind of where, I guess we have some new functionality here. So if we've selected a single design for this application, we do have a chance to make it a multiple design, if we didn't select that in our design category. So if we were to select yes, we would then just be directed to upload our second design, if that makes sense. It's fairly simple. Again, you guys should jump in and have a go and just create some drafts-

Josh:

It's a lot more intuitive than obviously legacy eServices. So, feel free to jump in and have apply and provide feedback.

Deanna:

I don't want to take up too much of your time. So we won't go through and do that one, but it is fairly simple. So we'll go next. So this is kind of some new functionality. This is what we're calling our address book management. So essentially when you come into here and you're giving our details, if you're logged in as yourself, and you're the owner, you can use the details that have associated to your accounts. So I've selected use my own details, and it will use the details. This is my eServices account that I have, so this is that. If I don't want to use my own details, I can go remove, and I can use some details that I've either already created in my address book, Oh, sorry, already created in my address book, you can see I have a bunch here and go choose contact, or I can create a new contact if I'm with a client and save it. If I'm applying on behalf of somebody else. So I can jump here, fill out the details. It's fairly simple. I'm just going to go cancel.

So yeah, it's pretty intuitive. Again, you can just use your own details, add somebody's, or use somebody's that you've previously used. If you are applying for a lot of applications on behalf of somebody, over a 12 month period, it's very simple to have their details saved in here, and then you can continuously use them without having to fill them out every time. So, it's same for when you go next into agent, again, you can only have one agent, but if I'm logged in as an agent, I can just say, use my details, and it will use the details that I have associated to my account. And then, yeah. So then we'll go next. So this is where we choose the request. We currently have registered and certified, and registered as our two request options. It does calculate the fees for you. So if you go register, it will kind of refresh those fees for us, and have them itemized.

So if we go back to register and certify, it will tell us that we've paying an application fee, and an examination fee. So that one is again, fairly simple. We try to provide some guidance again about why you should select either one. And then also again, a little bit about it being a two-step process, for our less sophisticated customers. So we'll go next, and I'll show you the summary page. Here we have a chance to go back, and edit any of these details if anything we have selected is incorrect, but yeah, again, we can go through check everything that we've put in, and then review out fees. I'll show you the new draft functionality. I probably won't continue to payment as it is fairly simple, same as what we have for renewals currently set up. So I'll show you.

Unlike the eServices experience, where you're asked to say the zip file to your desktop, and then have to re upload that, here we can just go save and exit. And what it does is it gives us a reference number straight up, and then it is saved in our drafts. So we can go back to our dashboard, and to access that draft, all we have to do is jump into, apply for a design, and down the bottom, it has all the drafts that I have saved. So right now I have two, I think that... I'm not sure how long they stay in there. I actually think there's not a date.

Josh:

I think at the moment, we're looking at a date of about seven days, but again, feedback would be great around that. I don't think there would be a use case for anything much more than seven days, in terms of a save draft. Most of these functionalities for whether it be a save file, or it needs to find out some more information, or for those attorney firms who need attorney approval, but that would happen much faster than a week, a day at max.

Deanna:

Yeah. It's fairly simple to continue a draft, you literally just click on it, and go continue, and it takes you back to where you finished, where you last left it. So if I was to only fill out my representations and save this draft, it would take me back to that step where I last completed.

Josh:

And this takes us away from uploading zip, those zips get corrupted easily. It's another huge limitation of eServices amongst many that has been fixed in this new experience.

Deanna:

Yeah. So as you can see if I tend to leave the page without saving, it will ask me if I want to cancel, exit without saving, or save and exit, I'll go save and exit, so that we're not losing any work. This is just the same reference number I was given before. I will show you the address book very quickly. So essentially this is where you can kind of manage your address book. You essentially can create new contacts. You can ask search on your contacts with the filters we have provided. You can remove contacts. So this essentially where you can see that. Again, this is kind of an MVP. So our first aeration of this address book functionality. So if there is things that you would like to see here that you can't see, jump on, provide us the feedback. Our feedback banner is at the top here. This comes straight to me personally, and we triage that and build that into our sprint. So that's... Yeah. If you guys try... I encourage you guys to jump into prod, have a go, save some drafts, let us know what you think. And yeah. So that's pretty much all that I had to demo in there.

Josh:

Do we have any questions guys around the demonstration that Deanna has provided today? Again, you guys can talk questions in, or raise your hand. So let us know if you're going to crush. We'll give you 30 seconds to a minute just to raise any questions you might have. Yeah. So there's a question here about resuming save drafts, prepared by another user under the same company, or same customer type. That's a question that will be answered early in the year. We're actually looking at delivering delegated user admin access in the new portal. So that's something that will go for Scott, but what we might have to revisit that one offline for you and answer that offline, but my initial thoughts, and that would be yes, for any user on the same customer, the draft would be resumable for any user under that customer account.

Deanna:

Yeah. So the attorney like functionality is, it is due later in our program. So we are currently working on, I guess, an experience more for our boutique attorneys that do have the delegated user admin. So, it is later in our program, but yeah, very good question, because I think that's definitely something that we can offer across users. But I guess currently in the experience, that would be not right now, but yeah, later on, that's definitely something that we were looking to.

Josh:

So we'll come back to you guys with that one. There was another question about the same thing. We've also got another question that's come in. Okay. So longer periods to save drafts. Okay, cool something to consider. I think at the moment Scott, I did mention seven days, but I think that timeframe is workable. So again, I'd encourage you guys to give us feedback through the experience, using the give feedback button, and that way, as Deanna said, we can actually triage it, and include it in our future sprints. So it's actually an outcome-based feedback mechanism, which is quite different than the traditional customer feedback mechanism and orchestra, but that's really good feedback Scott, so we appreciate it. That's probably all the questions, but the looks at things, we might continue on guys. We've probably only got another five minutes max. So I'll just cover quickly a delivery roadmap. So, as you can see on the screen, our next delivery is around trademark your application MVP. So that is anticipated to be delivered before Christmas, and the new patent. And I guess the refinement of that trademark your application MVP will be delivered in our first couple of sprints in the New Year.

We'll look at the your new applications as well, early in the New Year. And we're starting to test with customers now, around a customer amendment flow. So that will be probably February, March at this stage, but we'll probably have another webinar to discuss that new approach to customer amendments going forward, so that's things like assignments, change of name, change of address, those sorts of things, a new way to manage that. In terms of Christmas shutdown, it's probably important to mention to you guys that our teams, well, the agency generally has a shutdown period of 25 December to one, January, 2021.

So we are back in the office. I think it's the fourth, which is a Monday. Now, if you have any issues, please feel free to get in contact with us. But outside of that shutdown period. There won't be anyone physically in the office during that small period. We might move on to our quick poll. Again, I'll just get you guys, we'll just pop up the poll here just quickly. And if you guys could fill this out, that would be excellent. So as I said, it does help us measure, how our engagement is going, and our awareness, and sharing is going with you guys. That's important customers... But it also means we can improve where necessary. So if you can just take 20 seconds or so to complete that, that would be awesome.

I guess we'll probably aim for the next webinar to be at some point in February. I'll get the guys to send out some invitations, probably early January for that next webinar. And we'll give you an agenda about what we want to discuss. I dare say we'll take you through the new trademark application, and show you some of the new pattern, and PBR new application flows. And we'll also talk in a little bit more detail about the customer amendment flow that we're currently designing. We'd love to share it with you guys and get some feedback. So, if your firms, or if your decision makers at those firms are interested in leveraging some of the efficiencies that are better at B2B API channel, are enabling, and we've got a bunch of customers using that channel now.

I think we've got around 20 plus customers using that channel, which is really good. If you do need some help around, the approach to integration to that. Again, I know I say this every webinar, but please reach out to us so we can have discussion with your team. We're looking at discussing some possible case management vendors, in terms of integrating off the shelf top product that smaller or medium firms might want to use. So again, get in contact with us so we can discuss that with you guys, and what might suit your particular firm and your business structure. Okay.
